Are you a passionate Event Logistics Coordinator & Operations Analyst ? If so, we’d love you to join our team!

Responsible for coordinating with the stakeholders (Client team, Catering team, other contractors including but not limited to Porters, Health & Safety, Engineering, Cleaning) to organise and manage large events from inception to conclusion, within agreed Schroders framework. To liaise and communicate effectively with the stakeholders to accumulate, analyse and report on relevant management information.

 

 

 

 

Job description

 

Operational Skills

Duties:

  • Manage clients through the entire event planning process from start to finish.
  • Coordinate all aspects of events with the wider team, including porters, H&S, front of house, cleaning, catering, AV, and engineering.
  • Implement systems, processes, and governance for events.
  • Process necessary permits, conduct due diligence, and ensure compliance for various events.
  • Provide problem-solving and advice on catering and logistics alternatives for clients.
  • Ensure clients are fully aware of costs before confirming an event and prepare detailed quotes.
  • Maintain regular communication with the kitchen, front of house, and stakeholders.
  • Ensure all departments are aware of event budgets and deliver within those limits.
  • Communicate last-minute changes to relevant personnel promptly.
  • Verify correct recharging of all functions and resolve any outstanding issues.
  • Establish a separate billing system for events outside the normal hospitality scope.
  • Attend applicable events whenever possible to ensure client satisfaction.
  • Be present during events to monitor team efficiency, identify training needs, and suggest operational procedure changes.
  • Attend weekly Hospitality management meetings, particularly during large events, to provide updates.
  • Handle normal hospitality bookings and event business with resilience (e.g., holiday cover).
    Maintain accurate filing as required.
    Interpersonal Skills

Duties:

  • Provide the highest standard of customer care.
  • Interact with clients in a polite, efficient, and friendly manner.
  • Resolve any conflicts related to event bookings.
  • Manage feedback and share with appropriate teams.
  • Ability to deal with stakeholders and external visitors at all levels, including CEO.
  • Strong influencing skills and ability to remain calm under pressure.

Managerial Skills

Duties:

  • Cultivate effective relationships with event organizers and internal stakeholders to ensure successful events.
  • Develop and maintain a comprehensive set of Standard Operating Procedures (SOPs) covering various event scenarios.
  • Provide monthly financial breakdowns of all events.
  • Accurately recharge all events in the system.
  • Continuously review events to introduce changes, innovation, and improvements.
  • Contribute to the development of the company and personal growth.

Data Analysis

Duties:

  • Collect relevant management information from various departments within the catering operations.
  • Format, present, and interpret data for different stakeholders, including catering management, client teams, and Elior Lexington leadership.
